Welcome to the 8th Vacuum Technology Exchange Conference 2026! This conference is held at Venus Royal Hotel (International Convention and Exhibition Center Branch), No.118 Shajing Road, Shajing Subdistrict, Bao'an District, Shenzhen City. Our hotel-based exhibition venue offers a more exquisite environment, facilitating in-depth and efficient business exchanges.
Please read the following exhibition procedures carefully to ensure a smooth and successful exhibition experience for you.
第一阶段:展前准备与申请 | Phase 1: Pre-Exhibition Preparation and Application
1. 获取官方信息与联系Obtain Official Information and Make Contact
①访问官网:定期访问大会官方网站(网址:),获取最新的《参展商手册》、展位图、会议议程和酒店场地信息。
Visit the Official Website: Regularly check the conference's official website (URL: ) to get the latest Exhibitor Manual, booth layout, conference agenda and hotel venue information.
②联系主办方:确认您的专属商务代表,任何问题均可通过邮件或电话直接沟通。
Contact the Organizer: Confirm your dedicated business representative, and you may communicate any questions directly via email or phone call.

2. 确认参展与展位选择Confirm Exhibition Participation and Booth Selection
①提交申请:在线填写并提交《参展申请表》。
Submit Application: Fill out and submit the Exhibition Application Form online.
②展位确认:与主办方销售代表沟通,根据预算和需求选择最适合的展位。
Booth Confirmation: Communicate with the organizer's sales representative to select the most suitable booth according to your budget and requirements.
③酒店展会特点:展位通常位于酒店的宴会厅或会议层。
类型包括Types include:
标准展位:通常为6平方米(3m x 2m),配备基本设施(如射灯、桌椅、电源插座)。
Standard Booth: Typically 6 square meters (3m x 2m), equipped with basic facilities (e.g., spotlights, tables and chairs, power sockets).
光地展位:适用于需要特殊装修的大型或特装展位,需自行负责展位设计和搭建。
Raw Space Booth: Suitable for large or custom-built booths requiring special decoration; the exhibitor shall be responsible for the booth’s design and construction on their own.
④签订合同与付款:签署正式的《参展合同》,并按照合同规定支付展位费用定金或全款。
Sign Contract and Make Payment: Sign the official Exhibition Contract and pay the deposit or full amount of the booth fee in accordance with the contract terms.
3. 详细规划与申报Detailed Planning and Declaration
仔细阅读《参展商手册》:这是您参展的“相关注意详细介绍”,包含所有关键技术细节、截止日期和规定。
Read the Exhibitor Manual Carefully: This document is a comprehensive guide to all exhibition-related notes and details, including all critical technical specifications, deadlines and regulations.
提交各类表格:在截止日期前,通过主办方系统提交所需表格,主要包括:
Submit Various Forms: Submit all required forms through the organizer’s system before the deadline, including the following key items:
①展位设计图审批(特装展位必需):确保设计符合酒店承重、消防和安保要求。
Booth Design Drawing Approval (Mandatory for Custom-built Booths): Ensure the design complies with the hotel’s load-bearing, fire safety and security requirements.
②水电网络申请:根据展品演示需求,预订额外的电力、水源、压缩空气或网络服务。
Application for Water, Electricity and Network Services: Reserve additional power supply, water supply, compressed air or network services based on the demonstration needs of your exhibits.
③展品与物资清单:提前报备大型或特殊展品,以便酒店安排货运电梯和通道。
Exhibit and Material List: Declare large or special exhibits in advance to facilitate the hotel’s arrangement of freight elevators and access routes for transportation.
④工作人员登记:为您的展位工作人员办理入场胸卡。
Staff Registration: Complete the registration for your booth staff to obtain on-site entry badges.
⑤酒店服务咨询:如需在酒店预订客房、会议室或安排餐饮,请直接联系酒店销售或通过主办方协助,尽早预订可享受协议价。
Hotel Service Consultation: If you need to book hotel rooms, meeting rooms or arrange catering services, please contact the hotel sales department directly or seek assistance from the organizer. Early reservations are entitled to the negotiated corporate rate.
第二阶段:布展与进馆Phase 2: Booth Setup and Venue Entry
1. 物流与运输Logistics and Transportation
①安排展品运输:委托主办方推荐的货运代理或自行安排,确保展品在布展期开始前送达酒店指定收货区。
Arrange Exhibit Shipment: Entrust the freight forwarder recommended by the organizer or make independent arrangements to ensure exhibits are delivered to the designated receiving area of the hotel before the start of the booth setup period.
②明确送货地址与时间:务必使用主办方提供的准确酒店地址和布展时间窗口,避免与酒店日常运营冲突。
Specify Delivery Address and Time: Must use the accurate hotel address and booth setup time window provided by the organizer to avoid conflicts with the hotel's daily operations.
2. 布展流程(通常在展会前1天)Booth Setup Process (Usually 1 day before the exhibition)
①报到与取证:前往酒店内设立的“参展商报到中心”,凭公司证明文件领取参展商胸卡、资料袋及发票。
Check-in and Material Collection: Proceed to the Exhibitor Check-in Center set up in the hotel and collect your exhibitor badges, information kits and invoices with your company certification documents.
3. 展位搭建Booth Construction:
①标准展位:由主场搭建商统一搭建完毕,您只需布置展品和宣传资料。
Standard Booths: Fully constructed by the official booth contractor; you only need to arrange the exhibits and promotional materials.
②特装展位:您指定的搭建商进场施工,需全程遵守酒店和主办方的安全规定。
Custom-built Booths: Your appointed contractor may enter the venue for construction and must comply with the safety regulations of the hotel and the organizer throughout the entire process.
特别注意事项(酒店展会核心)Key Notes (Core Requirements for Hotel-based Exhibitions):
货运通道:严格遵守指定的货物出入口和货运电梯使用时间,避免损坏酒店设施。
Cargo Access: Strictly abide by the designated cargo entry/exit points and the usage hours of freight elevators to avoid damaging hotel facilities.
噪音与施工时间:酒店对施工噪音和时间有严格限制,请务必在规定时间内完成。
Noise and Construction Hours: The hotel enforces strict restrictions on construction noise and working hours; please ensure all construction work is completed within the specified time.
地面与墙面保护:铺设地胶等保护措施,严禁在酒店墙面、柱子上打孔、粘贴。
Floor and Wall Protection: Lay protective measures such as floor mats; drilling holes or pasting materials on hotel walls and pillars is strictly prohibited.
消防规定:所有装饰材料必须符合防火标准,不得遮挡消防设施。
Fire Safety Regulations: All decorative materials must meet fire protection standards, and fire safety facilities must not be obstructed.
第三阶段:展会期间运营Phase 3: On-site Operation During the Exhibitio
1. 每日开展前准备Pre-opening Preparation Daily
①提前到场,检查展品和设备运行状态。
Arrive at the venue in advance and check the operating status of exhibits and equipment.
②整理宣传资料和名片盒。
Organize promotional materials and business card holders.
③与团队成员沟通当日目标和重点客户。
Communicate the day’s objectives and key clients with team members.
2. 展位管理与客户接待Booth Management and Client Reception
①专业形象:展位人员着装专业,主动热情。
Professional Image: Booth staff shall be in professional attire and act proactively and enthusiastically.
②高效交流:酒店环境更利于深入洽谈,准备好您的技术方案和商业条款。
Efficient Communication: The hotel environment facilitates in-depth negotiations; prepare your technical solutions and commercial terms in advance.
③收集线索:利用大会APP或纸质表格,系统化地记录每一位潜在客户的信息。
Lead Collection: Systematically record the information of every potential client via the conference APP or paper forms.
3. 参与大会活动Participate in Conference Events
①鼓励员工参加同期举办的技术交流会、新品发布会和招待晚宴,这是拓展人脉、了解行业动态的绝佳机会。
Encourage your staff to attend the technical seminars, new product launches and reception dinners held concurrently. These are excellent opportunities to expand professional networks and keep abreast of industry trends.
4. 遵守展会规定Abide by Exhibition Regulations
①按时开馆、闭馆,不占用公共通道。
Open and close the booth on time; do not occupy public passageways.
②保管好个人贵重物品。
Keep your valuable personal belongings safe.
③保持展位整洁,垃圾妥善处理.
Maintain a clean booth and dispose of waste properly.
第四阶段:撤展与后续跟进Phase 4: Dismantling and Post-Exhibition Follow-Up
1. 有序撤展Orderly Dismantling
①遵守撤展时间:严禁提前撤展。展会正式结束后,方可开始打包。
Abide by Dismantling Time: Early dismantling is strictly prohibited. Packing may only begin after the official conclusion of the exhibition.
②物资处理:将所有需要运回的展品打包,并贴上标签。处理掉所有废弃物料,避免产生额外的垃圾清运费。
Material Handling: Pack all exhibits to be transported back and affix labels to them. Dispose of all waste materials to avoid additional waste removal fees.
③恢复场地:确保展位区域恢复原状,不留下任何损坏。
Venue Restoration: Ensure the booth area is restored to its original condition with no damage left behind.
2. 展后工作Post-Exhibition Work
①客户跟进:这是参展价值最大化的关键!在展会结束后一周内,对所有收集到的潜在客户进行系统性的跟进。
Client Follow-Up: This is the key to maximizing the value of exhibition participation! Conduct systematic follow-up with all collected potential clients within one week after the exhibition.
②效果评估:团队内部开会总结本次参展的成果、不足及改进建议。
Effect Evaluation: Hold an internal team meeting to summarize the achievements, shortcomings and improvement suggestions of this exhibition participation.
③结算费用:与主办方及所有服务供应商核对并结清所有尾款。
Fee Settlement: Reconcile and settle all outstanding payments with the organizer and all service providers.
酒店展会特别提醒Special Reminders for Hotel-based Exhibition!
①空间利用:酒店展位空间相对紧凑,展台设计应注重精致、高效和立体感,而非庞大。
Space Utilization: Booth space in the hotel is relatively compact. Booth design should focus on exquisiteness, efficiency and a three-dimensional layout instead of being overly large.
②人流导向:酒店布局复杂,请熟悉大会的指引系统,并可在自己的邀请函中明确标注展位位置。
Pedestrian Flow Guidance: The hotel layout is complex. Please familiarize yourself with the conference's signposting system and clearly mark your booth location in your invitation letters.
③噪音控制:演示设备或视频的音量需控制在合理范围,避免影响相邻展位。
Noise Control: Keep the volume of demonstration equipment or videos at a reasonable level to avoid disturbing adjacent booths.
④专业氛围:利用酒店的优雅环境,可邀请重要客户至酒店大堂吧或咖啡厅进行更私密的商务洽谈。
Professional Atmosphere: Take advantage of the hotel’s elegant setting—you may invite key clients to the hotel lobby lounge or café for more private business negotiations.
